Manager & Administrator Privacy Policy

This Privacy Policy explains how Quilt Thrift Optimization LLC, doing business as TrueTag ("Company," "we," "us," or "our"), collects, uses, and protects information about individuals who use the TrueTag web dashboard as a Manager or Administrator. This policy applies to Manager accounts only. Volunteer accounts are governed by the separate TrueTag Volunteer & Mobile App Privacy Policy.
By creating a Manager account or using the TrueTag dashboard, you agree to the terms of this Privacy Policy.
1. About TrueTag
TrueTag is an AI-powered pricing platform for thrift stores. Managers access a web dashboard to configure pricing rules, manage volunteer access, and review analytics. Operated by:

2. Information We Collect About Managers
2.1 Account Registration
When you create a Manager account, we collect:

Email address (if registering via email/OTP authentication)

Name and email address from your Google account (if registering via Google OAuth)

Organization name and store location
We do not collect or store payment card numbers or financial account details on our servers. All payment processing is handled by Stripe, Inc.
2.2 Subscription and Billing
When you subscribe to a service tier, we collect:

Subscription tier selected and billing cycle

Transaction identifiers and payment status provided by Stripe
We receive only tokenized transaction confirmation from Stripe. We do not receive or store full payment card numbers, CVV, or bank account details.
2.3 Dashboard Activity
While you use the dashboard, we automatically collect:

Login timestamps and session durations

Pricing configuration changes (multipliers, category minimums)

Volunteer management actions (adding, approving, disabling volunteers)

Dashboard navigation and feature usage patterns

Device and browser information (browser type, operating system, IP address)

2.4 Communications
If you contact us by email or support channel, we retain those communications and any information included in them.
3. How We Use Manager Information

To create and maintain your Manager account

4. Information You Access as a Manager
Through the TrueTag dashboard, Managers have access to Volunteer-generated data, including:

Volunteer display names and login activity

Items priced, session duration, and processing time per Volunteer

Photographs uploaded by Volunteers

Pricing outputs and AI confidence scores per session

Historical transaction data and analytics

Session index data: the internal mapping of each session to its store, date, display name, and associated image IDs (used to enable targeted image deletion)
By accessing Volunteer data, you assume responsibility for handling it in compliance with applicable privacy laws and your obligations to your Volunteers. See Section 6.
5. How We Share Manager Information
5.1 Stripe (Payment Processing)
Payment processing is handled entirely by Stripe, Inc. You provide payment information directly to Stripe through their secure interface. TrueTag receives only tokenized transaction identifiers. Your use of Stripe is subject to the Stripe Services Agreement and Stripe's Privacy Policy at stripe.com.
5.2 Google (OAuth Authentication)
If you log in via Google OAuth, Google authenticates your identity and shares your name and email with us. Your use of Google Sign-In is subject to Google's Privacy Policy. We use only the minimum information necessary to create and maintain your account.
5.3 Infrastructure Providers
We use third-party cloud infrastructure providers who may process data on our behalf under data processing agreements with appropriate security standards.
5.4 Legal Requirements
We may disclose your information if required by law, court order, or governmental authority, or to protect our legal rights or the safety of any person.
5.5 Business Transfers
If TrueTag or Quilt Thrift Optimization LLC is involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction. We will provide notice before your information becomes subject to a different privacy policy.
6. Manager Obligations Regarding Volunteer Data
As a Manager, you access personal data about Volunteers, including individuals who may be minors. By using TrueTag, you represent, warrant, and agree that:

You will inform Volunteers, before they use the app, that their names, activity metrics, and uploaded photographs are visible to Managers and retained by TrueTag

You will ensure that any Volunteer under 18 years of age has parental or legal guardian consent before you issue them a Store PIN. TrueTag's dashboard includes a reminder of this obligation at the point of approving a Volunteer account. This obligation is set out in your Manager Terms of Service

You will use Volunteer data only for legitimate store management purposes

You will promptly revoke access for any Volunteer whose authorization has ended

You will handle any Volunteer data you export or retain outside TrueTag in accordance with applicable privacy laws

If a Volunteer or their parent or guardian requests deletion of images from a specific Volunteer's sessions, you will assist by submitting a deletion request to truetagforthrift@gmail.com with the store name, Volunteer display name, and approximate date range. TrueTag maintains a session index that enables targeted deletion of that Volunteer's image IDs without requiring deletion of all images from your store
We are not responsible for your compliance with these obligations. Liability for failure to meet them rests with you.
7. Data Retention

Account registration information: retained for the life of your account plus three (3) years after closure

Billing and transaction records: retained for seven (7) years for financial recordkeeping compliance

Dashboard activity logs: retained for up to two (2) years

Support communications: retained for three (3) years from the last communication
You may request deletion of your account at any time by contacting truetagforthrift@gmail.com. We will fulfill deletion requests subject to our legal retention obligations above.
8. Your Privacy Rights
8.1 Access and Portability
You may request a copy of the personal information we hold about you in a structured, machine-readable format.
8.2 Correction
You may request correction of inaccurate or incomplete information, or update most account details directly through the dashboard.
8.3 Deletion
You may request deletion of your personal information subject to our legal retention obligations. Deleting your Manager account does not automatically delete photographs uploaded by Volunteers under your organization.
8.4 How to Exercise Your Rights
Contact us at truetagforthrift@gmail.com. We will respond within thirty (30) days and may verify your identity before processing your request.
9. Cookies and Tracking
The TrueTag dashboard uses cookies and session tokens to maintain your login session and analyze platform usage. You may configure your browser to refuse cookies, but this may impair certain dashboard functions. We do not use cookies for behavioral advertising.
10. Data Security
We implement commercially reasonable technical and organizational measures to protect your information, including encrypted transmission (TLS), access controls, and regular security assessments. No security system is impenetrable. If you become aware of any security concern, notify us immediately at truetagforthrift@gmail.com.
11. Governing Law
This Privacy Policy is governed by the laws of the State of Michigan. Michigan does not currently have a comprehensive consumer data privacy statute equivalent to the California Consumer Privacy Act (CCPA). If you are a California resident, additional rights may apply --- contact us to learn more. Data transferred from outside the United States will be processed in the United States.
12. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated to the email address associated with your Manager account and posted in the TrueTag dashboard at least seven (7) days before taking effect. Continued use after the effective date constitutes acceptance of the updated policy.
